Every motor carrier must maintain a driver qualification file for each driver. It must contain the driver's employment application, the motor vehicle record from each state (obtained at hire and reviewed at least annually), the annual review of driving record, the medical examiner's certificate and National Registry verification, the road-test certificate or accepted equivalent, and Clearinghouse query records.
Annual obligations
At least once a year, the carrier must obtain an updated MVR and review each driver's record, and confirm the driver's medical certificate remains valid. We run these annually on every driver.
Retention
DQF records must be retained for the duration of employment and a 3-year retention requirement applies to most documents. We maintain active files and compliant terminated-file storage per the retention requirements.
